WHAT DO YOU MEAN BY "GROUP ORGANIZER?"
The Group Organizer is the person that purchases the game and sets up the reservation in the GAP. The Group Organizer can also be a player and a Team Captain* if they wish!
The Group Organizer will have the main GAP login with control over the reservation details. They will name the reservation and add all the players. They will be able to assign and name teams, designate and invite Team Captains (optional), schedule game start times, add video conference information, send player invitations, and monitor the status of their reservation’s team.
*If a Group Organizer is a Team Captain, they DO NOT need to send themselves a Team Captain invitation. This will just take them to the same login. The Organizer can simply edit their own team’s details from the Teams page, Invitations page, or by clicking their team name on the Invitations page.
WHAT EXACTLY IS A TEAM CAPTAIN?
The Team Captain's role is to help coordinate game logistics with the players on their team and to enter those details into the GAP. We created the Team Captain role so the Group Organizer can delegate some of the individual team details to someone on each team.
Team Captains will have their own view of the Game Administrator Portal. They will have the ability to add or edit their team name, schedule the play time, add a video conferencing link for their game, send invitations to fellow players, and even add players to their team. The Team Captain does not have any additional responsibilities in the game itself.
The Organizer has the option to make Team Captain assignments on the Teams page in the Game Administrator Portal and to invite Team Captains to their Team Captain view in the GAP from the Invitations page.
Please note: Team Captain assignments are now optional.
HOW DO I ASSIGN TEAMS AND TEAM CAPTAINS?
In the PALACESPHERE Game Administrator Portal (GAP) the Organizer can add all players and assign teams by team name on the Players page. The Organizer can designate Team Captains and edit team assignments on the Teams page.
After you check out on the Shop, you’ll receive a welcome email with access to the Game Administrator Portal. For step by step guides on how to get set up, check out the GAP Help Articles.
DO I HAVE TO ASSIGN TEAM CAPTAINS?
No. Formerly, a Team Captain was required for each team. Now, Team Captains are optional.
We recommend using Team Captains if the Organizer wants to delegate some of the scheduling / team details to a member on each team. For example, if teams will be playing at different times, the Team Captain can coordinate with their own teammates to schedule their play time. They can also provide their own video chat link and send invitations once they input all their game details.
DO I NEED A VIDEO CONFERENCE TO PLAY? WHO PROVIDES IT?
Yes. At least one puzzle in The Ruby Palace requires players to see a teammate. If you are playing with teammates remotely, you will need a video conference to see them for this puzzle.
The video conference must be provided by the customer whether it is the Organizer, Team Captain, or players on teams. We do not provide video conferencing.
You may use whatever video conferencing platform you prefer! You will have the option to add your video conferencing link to the invitation and the lobby page, however, it is not required in order to schedule the game.
